Sproutfolio (“we”, “us”) helps UK home-educating families keep a record of their child’s learning. We take your privacy — and your children’s — seriously. This policy explains what we collect, why, and the control you have. If you have questions, contact us at info@sproutfolio.co.uk.

Who we are

Sproutfolio is the data controller for the information you provide. We’re a small UK-based service. You can reach us any time at the email above.

What we collect

• Your account details — your name and email address.
• Your children’s learning records — the names you give your children, learning entries, notes, dates, subjects, moods and any photos you upload.
• Your activity in the app — calendar events, community posts and comments, and progress such as badges and adventures.
• Payment information — handled entirely by Stripe (see below). We never see or store your card details.
• Basic technical data — standard information your browser sends, used to keep the service secure and working.

Children’s data

Sproutfolio is used by parents and carers, not by children directly. The records you keep about your child are entered by you, stored privately, and visible only to you — unless you choose to share something (for example, generating a report to show your local authority). Photos are stored in private storage and are not public. We treat children’s information with extra care and never use it for advertising or sell it to anyone.

Why we use your data

• To provide the service — storing and showing your records, reports and community.
• To manage your account and subscription.
• To keep the service secure and to fix problems.
• To contact you about your account (for example, password resets or important notices).

Our lawful bases are performance of a contract (providing the service you sign up for) and our legitimate interests in running and securing it.

Who we share it with

We don’t sell your data. We use a small number of trusted providers to run the service:

• Supabase — secure database and file storage (hosting your account and records).
• Stripe — payment processing. Stripe handles your card details directly; we only receive confirmation of your subscription status.
• Vercel — hosting the application.
• Email delivery — to send account emails such as confirmations and password resets.

Each processes data on our behalf under their own security and privacy terms.

How long we keep it

We keep your data for as long as your account is active. If you delete your account, we remove your personal data promptly (see below).

Deleting your account & your data

You can permanently delete your account at any time from You → Delete my account. When you do:

• Your personal data is permanently deleted— your children’s records, learning entries, photos, reports, calendar, and account details.
• Your subscription is cancelledso you’re not charged again, and your payment record with Stripe is removed.
• Your community posts and comments are anonymisedrather than deleted — so conversations others took part in stay intact, but they’re no longer linked to you or identifiable as yours.

This action is immediate and cannot be undone.

Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data (you can edit most of it directly in the app).
• Delete your data (see above).
• Object to or restrict certain processing.
• Request a copy of your data.

To exercise any of these, email info@sproutfolio.co.uk. You also have the right to complain to the UK’s Information Commissioner’s Office (ICO) at ico.org.uk.

Security

Your data is stored securely with access controls so that only you can see your records. Photos are kept in private storage. No system is perfectly secure, but we take reasonable steps to protect your information.

Changes to this policy

We may update this policy from time to time. If we make significant changes, we’ll let you know. The date at the top shows when it was last updated.
